Studeo (“Studeo“, “we“, “us“, or “our“) is a mobile study and calendar planning application designed to help students organize their studies, schedules, activities, and social interactions.

This Privacy Policy explains how Studeo collects, uses, stores, and protects personal data when you use the Studeo mobile application and related services.

We process personal data in accordance with the General Data Protection Regulation (EU) 2016/679 (“GDPR”) and applicable Belgian data protection legislation.

2. What personal data do we process?

Depending on how you use Studeo, we may process the following categories of personal data.

2.1 Account and identification data

When you create or use a Studeo account, we may process:

  • First name

  • Last name

  • Email address

  • Telephone number, where required for OTP verification

  • Profile picture or avatar

  • Authentication information

  • Authentication method, such as email/password, Google Sign-In, or Sign in with Apple

We use this information to create and manage your account, authenticate you, secure the service, and provide the Studeo functionality you request.

2.2 Education and study data

To provide study-planning functionality, we may process:

  • Your university, college, or other educational institution

  • Your field of study or programme

  • Course and timetable information

  • Timetable data obtained through TimeEdit, iCal feeds, or university systems

  • Information necessary to synchronize and display your timetable

This information is used to provide and personalize your study-planning experience.

2.3 Calendar and activity data

Depending on the functionality you use, we may process:

  • Personal study activities

  • Calendar events

  • Appointments

  • Activity start and end times

  • Notes that you voluntarily create

  • Participation in activities

  • Library reservation status where this functionality is available

This information is used to provide calendar, planning, reminder, and organizational functionality.

2.4 Social and interaction data

Studeo contains social functionality that may allow users to connect with other students.

We may therefore process:

  • Friends and connections

  • Friend requests

  • Invitations to activities

  • Participants in activities

  • Information contained in your Studeo profile

  • Search-related information used to find other users

Certain profile information may be indexed by Algolia to provide the in-app user search functionality.

Your profile information may therefore be visible to other Studeo users to the extent necessary for the social functionality of the application.

2.5 Device and technical information

When you use Studeo, we may process technical information such as:

  • Push notification tokens

  • Device type or model

  • Operating system and version

  • Application version

  • Network or connectivity information

  • Technical identifiers necessary to operate and secure the application

This information is used to operate Studeo, deliver notifications, maintain security, troubleshoot technical problems, and improve application reliability.

2.6 Analytics, performance and crash information

We may use services such as Firebase Analytics, Firebase Crashlytics, and Firebase Performance Monitoring to understand how the application performs and to identify technical problems.

Depending on the configuration of these services, information may include:

  • Application usage information

  • Events relating to interaction with the application

  • Device and technical information

  • Performance information

  • Crash reports

  • Error messages and stack traces

  • Information relating to the circumstances in which an application error occurred

These services help us identify bugs, improve stability, investigate technical incidents, and improve the performance of Studeo.

Where consent is legally required for a particular analytics or tracking activity, we will request the appropriate consent before carrying out that processing.


3. Permissions used by Studeo

Camera and photo library

We may request access to your camera or photo library when you choose to select or upload a profile picture.

You can refuse this permission. Refusing access may prevent you from using functionality that requires a profile picture.

Device calendar

Where you choose to synchronize or export Studeo activities with your device calendar, Studeo may request access to your device calendar.

Calendar access is used only to provide the calendar functionality you request.

Push notifications

Studeo may request permission to send push notifications.

Notifications may be used for purposes such as:

  • Activity reminders

  • Timetable-related updates

  • Friend requests

  • Social interactions

  • Other relevant Studeo notifications

You can manage notification permissions through your device settings.


4. Why do we process your personal data?

We process personal data for the following purposes:

  • To create and manage your Studeo account

  • To authenticate users and maintain account security

  • To provide timetable and study-planning functionality

  • To provide calendar and activity-management functionality

  • To enable social and friend-related functionality

  • To provide user search functionality

  • To send requested notifications

  • To synchronize or export information to your device calendar where requested

  • To provide profile-picture functionality

  • To detect, investigate, and resolve technical problems

  • To maintain the security and integrity of Studeo

  • To monitor and improve application performance

  • To understand application usage where legally permitted

  • To comply with applicable legal obligations

  • To protect our rights and prevent misuse, fraud, or security incidents

5. Legal bases for processing

Depending on the processing activity, we rely on one or more of the following legal bases under Article 6 GDPR.

Performance of a contract — Article 6(1)(b) GDPR

We may process information necessary to provide the Studeo services you request.

This may include account information, timetable information, calendar and activity information, and information necessary for social functionality.

Consent — Article 6(1)(a) GDPR

Where required by law, we rely on your consent for specific processing activities.

This may include certain optional permissions or analytics/tracking activities where consent is legally required.

You may withdraw consent at any time. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.

Legitimate interests — Article 6(1)(f) GDPR

Where appropriate, we may process personal data based on our legitimate interests, including:

  • Maintaining application security

  • Preventing abuse and fraud

  • Diagnosing crashes and technical problems

  • Maintaining and improving application performance

  • Protecting our legal rights

  • Operating and maintaining our services

When relying on legitimate interests, we consider and balance our interests against your rights and freedoms.

Legal obligation — Article 6(1)(c) GDPR

We may process personal data where processing is necessary to comply with a legal obligation applicable to us.


6. Third-party service providers

We use selected third-party service providers to operate Studeo.

These providers may process personal data on our behalf or may process data independently for certain services, depending on their role and the applicable legal framework.

Google Firebase

We may use Firebase services including:

  • Firebase Authentication

  • Cloud Firestore

  • Firebase Storage

  • Firebase Cloud Functions

  • Firebase Cloud Messaging

  • Firebase Analytics

  • Firebase Crashlytics

  • Firebase Performance Monitoring

These services may be used for authentication, database storage, file storage, notifications, analytics, crash reporting, performance monitoring, and backend functionality.

Apple

We may use Apple services, including:

  • Sign in with Apple

  • Apple device/calendar functionality where applicable

Algolia

We may use Algolia to provide search functionality within Studeo.

Certain profile information may be indexed by Algolia to enable users to search for other users.

TimeEdit and university systems

Studeo may retrieve timetable information from TimeEdit or systems operated by or on behalf of educational institutions, where the user has provided the relevant timetable connection or where such data is otherwise made available for the requested functionality.


7. International data transfers

Some of our service providers may process personal data outside the European Economic Area (“EEA”).

Where personal data is transferred outside the EEA, we take appropriate measures required by applicable data protection law.

Depending on the circumstances, this may include:

  • An adequacy decision adopted by the European Commission

  • Standard Contractual Clauses (“SCCs”)

  • Other legally recognized transfer mechanisms or safeguards

Where required by GDPR, information about the applicable transfer mechanism and relevant safeguards can be requested from us.

Because third-party services and their infrastructure may change over time, the precise locations in which data is processed may vary depending on the services and configurations used.


8. How long do we keep your personal data?

We retain personal data only for as long as necessary for the purposes for which it was collected, unless a longer retention period is required or permitted by law.

Different categories of information may therefore have different retention periods.

For example:

  • Account information is generally retained while your Studeo account remains active.

  • Timetable, calendar, and activity information is retained while necessary to provide the corresponding functionality.

  • Technical, security, crash, and diagnostic information may be retained for a limited period appropriate to the purpose for which it was collected.

  • Information that must be retained to comply with legal obligations may be retained for the legally required period.

When personal data is no longer required, we will delete it or otherwise securely dispose of it, subject to applicable legal obligations.


9. Account deletion

You can permanently delete your Studeo account through the account settings available within the application.

When you request account deletion, we will delete or anonymize the personal data associated with your account, subject to any information that we are legally required or legitimately permitted to retain.

Depending on technical and legal requirements, deletion from backup systems or third-party systems may take additional time.

Account deletion may result in the permanent loss of your Studeo account, activities, connections, and other associated information.


10. Your rights under the GDPR

Depending on the circumstances and applicable legal requirements, you have the following rights regarding your personal data:

Right of access

You can request confirmation as to whether we process personal data about you and, where applicable, request a copy of that data.

Right to rectification

You can request that inaccurate or incomplete personal data be corrected.

Right to erasure

You may request deletion of your personal data in circumstances provided by the GDPR.

You can also delete your Studeo account directly through the application.

Right to restriction of processing

In certain circumstances, you can request that we restrict the processing of your personal data.

Right to data portability

Where the legal requirements are met, you may request your personal data in a structured, commonly used, and machine-readable format and, where technically feasible, request that it be transmitted to another controller.

Right to object

In certain circumstances, you have the right to object to the processing of your personal data, particularly where processing is based on legitimate interests.

Right to withdraw consent

Where we process your personal data based on consent, you can withdraw that consent at any time.

Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal.

These rights are not absolute and may be subject to conditions and exceptions under applicable law.


11. How to exercise your rights

Please clearly indicate the right you wish to exercise and provide sufficient information for us to identify the relevant account or request.

We may need to verify your identity before fulfilling certain requests in order to protect your personal data and prevent unauthorized access.

We will normally respond to a valid request within one month.

This period may be extended by up to two additional months where permitted by the GDPR, particularly where requests are complex or numerous. Where an extension applies, we will inform you within the applicable initial period.


12. Right to lodge a complaint

If you believe that your personal data has been processed unlawfully or that your GDPR rights have not been respected, you have the right to lodge a complaint with a competent data protection supervisory authority.

13. Security

We take reasonable technical and organizational measures designed to protect personal data against unauthorized access, alteration, disclosure, loss, destruction, or other unlawful processing.

These measures may include authentication controls, access controls, encryption or encrypted communication where appropriate, secure cloud infrastructure, and monitoring of technical errors and security issues.

However, no method of electronic transmission or storage can be guaranteed to be completely secure.


14. Children’s privacy

Studeo is intended for students and is not specifically directed at children.

We do not knowingly collect personal data from children in circumstances where such collection is prohibited by applicable law.

15. Automated decision-making and profiling

Studeo does not currently intend to make decisions producing legal or similarly significant effects concerning users solely through automated processing.

If this changes in the future, we will provide the information required by applicable data protection law and, where required, obtain appropriate consent or provide applicable safeguards.


16. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to Studeo, our data processing practices, technology, or applicable legal requirements.

When we make material changes, we will take reasonable steps to notify users, where required.

The date at the top of this Privacy Policy indicates when it was last updated.
